Deleting your data
You can delete your account and everything in it yourself, from inside the app, without asking anyone. This page explains exactly what that removes, what survives it and why, and what to do if you are not the account holder.
1. Delete your account
Sign in and go to Account → Delete account (open it directly). You will be asked to type your account name to confirm. There is no waiting period and no support ticket: when you confirm, the erasure runs immediately.
This cannot be undone. If you want to keep your photographs, download them before you start. Deletion removes the originals as well as the web-sized copies.
2. What gets erased
Everything below is permanently deleted:
- your account, profile and settings, and your saved language and themes;
- your portfolio website: every page, block, published version and custom domain;
- every photo and video you uploaded, including the original files and the web, thumbnail and preview copies held in object storage;
- all galleries, share links, gallery passwords, proofing selections, comments and reactions;
- your clients, bookings, quotes, packages and the messages in the client portal;
- contact-form submissions and leads captured by your website;
- view and download statistics collected for your galleries and portfolio;
- paired desktop devices and their access tokens;
- any connected Instagram account (see section 3);
- your subscription, which is cancelled with the payment provider as part of the deletion.
3. Removing Instagram data specifically
You do not have to delete your whole account to remove Instagram data. If you have connected an Instagram account, disconnecting is enough, and you can do it on its own.
In the app, open Account and choose Disconnect on the Instagram card. You can also revoke our access from Instagram itself, under Settings → Website permissions → Apps and websites; we treat a revocation exactly like a disconnect, so either route is sufficient and neither depends on us acting.
Either route removes, from our systems:
- the access token issued to us, so we can no longer reach your account;
- the connection record, including the Instagram account identifier, username and profile picture we stored;
- the Instagram messages we received on your behalf and stored against your CRM records.
Photos you published to Instagram stay on Instagram. They are posts on your own account, and only you can remove them there. Deleting your whole account performs all of the above as part of the erasure.
4. What we have to keep
Invoices and the accounting records around them. Dutch tax law requires us to keep our administration for seven years, and that obligation outlives your account. What we retain is the financial record: invoice numbers, amounts, dates and the counterparty, held separately and used for nothing else. It is deleted when the seven years are up.
Backups. Backups roll over on their own schedule, so deleted data can persist inside a backup for a short period after it is gone from the live service. Backups are never used to restore an account you deleted.
Aggregate counts that contain nothing identifying (how many galleries exist across the platform, for example) are unaffected, because no part of them is about you.
5. Your sign-in
Sign-in runs through a separate identity provider, which holds your email address and login history. Deleting your ProFotograaf account removes everything on our side and ends the link, but the identity record itself lives with the provider. To have that erased as well, tell us in the same request or write to [email protected] and we will pass it on.
6. If you are a client of a photographer
If you received a gallery, an invoice or a portal login, the photographer put that data into the platform and they decide what happens to it. We host it on their behalf and cannot delete their records on our own initiative.
Ask the photographer first. They can delete a client record, a gallery or an individual photo immediately. If you cannot reach them, or they do not act, write to [email protected] with enough detail to find the material, and we will make sure the request is honoured.
7. If you would rather we did it
You are not obliged to use the self-service route. Mail [email protected] from the address on the account and we will delete it for you. We confirm within one month, and in practice much sooner. The same address handles requests for a copy of your data or a correction to it.
